Common questions

What is the difference between a warehouse and a storage location?
A warehouse is the top-level entity. Specific locations — housekeeping store, kitchen dry store, bar stock — exist within it. All internal transfers between locations are tracked with full records.
How is hotel linen tracked?
Linen is tracked by batch rather than individual item. The system monitors quantities in laundry, issued to rooms, in clean storage, and undergoing repair.
How do low-stock alerts and automatic reordering work?
Each product has a minimum quantity threshold. When stock reaches that level the system generates a purchase request automatically and alerts the purchasing manager.
How are perishable items with expiry dates managed?
Items are tracked by lot number with expiry dates recorded. The system enforces First Expired First Out (FEFO) to ensure older stock is consumed first.
How is departmental supply cost tracked?
When stock transfers from the main store to a department, the cost is allocated to the receiving department's cost centre automatically, feeding directly into the P&L.
Can I track the total value of all inventory?
Yes. The inventory valuation report calculates the value of all stock using standard cost, weighted average, or FIFO methods.
Can we conduct stock counts without shutting down operations?
Yes. The system supports cycle counting on rolling schedules. Variance reports are generated before adjustments are posted.
How does inventory connect to purchasing?
Reorder points trigger automatic purchase requests that flow to the purchasing module for review and conversion to purchase orders.
